Who We Are These terms and conditions apply to all services provided by Softlight BV, trading as Light Robotics ("Light Robotics", "we", "us"). Light Robotics offers STEM education programmes, vacation camps, and workshops for children in the Netherlands. 2. Applicability These terms apply to every registration, purchase, or agreement made through our website (lightrobotics.co), our booking platform, email, or WhatsApp. By completing a registration, you agree to these terms. If you are registering a child for our programmes, you confirm that you are the child's parent or legal guardian, or that you have the authority to enter into this agreement on their behalf. 3. Prices and Payment All prices are listed in euros (€) and include VAT (BTW) where applicable. Payment is due at the time of registration unless otherwise agreed. Prices are subject to change; the price applicable at the time of your registration is the price you pay. 4. Trial Day and Cancellation Policy Trial day: The first day of any multi-day camp is a trial day. If, after the first day, you feel the programme is not the right fit for your child, you may cancel the remaining days and receive a refund for those days. Cancellation by the parent/guardian: More than 7 days before the start date: full refund 48 hours to 7 days before the start date: 50% refund Less than 48 hours before the start date: no refund Cancellations must be submitted in writing via email to softlightbv@gmail.com. Cancellation by Light Robotics: If Light Robotics cancels a programme (e.g. due to insufficient registrations or force majeure — see clause 9), all registered participants will receive a full refund within 14 days. 5. Parental Responsibilities By registering your child, you confirm that: Your child meets the age requirements for the programme (stated per programme) You have disclosed all relevant medical information, allergies, dietary needs, and any other conditions that may affect your child's participation, in response to our pre-camp intake questions You will ensure your child arrives on time and is collected by an authorised adult at the stated end time Light Robotics cannot be held responsible for incidents arising from information that was not disclosed at registration or in response to our pre-camp intake. 6. Pick-Up Policy Your child will only be released to the parent or guardian listed at registration, or to another adult whose name you have provided to us in advance. If an unannounced adult arrives to collect your child, we will contact you before releasing the child. 7. Liability Light Robotics takes all reasonable measures to provide a safe, supervised environment for participants. Light Robotics holds business liability insurance (aansprakelijkheidsverzekering voor bedrijven). Light Robotics is not liable for: Minor accidents or injuries that occur during normal programme activities Loss, damage, or theft of personal belongings brought to the programme Incidents resulting from undisclosed medical conditions or allergies Light Robotics' total liability for any claim arising from our services is limited to the amount paid by you for the relevant programme. Nothing in these terms limits liability for death or personal injury caused by our gross negligence or wilful misconduct, as required by Dutch law. 8. Materials and Equipment All LEGO sets, robots, and materials used during programmes remain the property of Light Robotics and must not be taken home. Each child receives a small LEGO gift at the end of the programme. 9. Force Majeure Light Robotics is not liable for failure to perform its obligations due to circumstances beyond our reasonable control, including but not limited to extreme weather, illness of staff, government measures, or venue unavailability. In such cases, we will offer an alternative date or a full refund. 10. Photos and Media Photos and videos taken during our programmes are shared with parents via WhatsApp for personal use only. Parents are asked not to post these images publicly or on social media, out of respect for all children's privacy. Light Robotics will only use photos or videos of your child for marketing purposes if you have given explicit written consent at the time of registration. 11. Behaviour Light Robotics reserves the right to remove a child from a programme if their behaviour poses a risk to the safety or wellbeing of other participants or staff. In such cases, no refund will be given. 12. Amendments Light Robotics may update these terms from time to time. The version in effect at the time of your registration applies to your booking. We will notify registered participants of material changes that affect ongoing bookings. 13. Governing Law and Disputes These terms are governed by Dutch law. In the event of a dispute, we will first seek to resolve it amicably. If no resolution can be reached, disputes will be submitted to the competent court in the Netherlands. Consumers also have the right to submit disputes to the relevant Dutch consumer dispute resolution body (Geschillencommissie). 14. Who We Are Softlight BV, trading as Light Robotics, is the data controller responsible for the personal data described in this policy. We offer STEM education programmes, vacation camps, and workshops for children in the Netherlands. We are committed to protecting the privacy of the children and families who participate in our programmes, and to complying with the General Data Protection Regulation (GDPR) and Dutch privacy law. 2. Whose Data We Collect We collect personal data about: Parents and guardians who register their child for our programmes Children who participate in our programmes All participants in our programmes are under 16. We only process children's personal data with the consent of a parent or legal guardian. By completing a registration, the parent or guardian confirms they have the authority to provide this consent. 3. What Data We Collect and Why 3a. Registration data Collected via our booking platform (WeTickets) at the time of registration: Data Purpose Child's first and last name Identifying the participant Child's age Confirming eligibility for the programme Parent/guardian name Primary contact for the booking Parent/guardian email address Booking confirmation and communication Parent/guardian phone number Urgent communication during the programme Legal basis: Performance of a contract (GDPR Art. 6(1)(b)) 3b. Pre-camp intake data Collected via WhatsApp message before the programme starts: Data Purpose Language(s) spoken by the child Ensuring the child can participate comfortably Food allergies and dietary needs Keeping the child safe during meals and snack breaks Pick-up arrangement (if different from registered parent) Child safety at end of programme Additional notes (e.g. shyness, prior experience) Tailoring our approach to support the child Legal basis: Legitimate interest (GDPR Art. 6(1)(f)) and, for allergy/dietary data, explicit consent (GDPR Art. 9(2)(a)) Important note on allergy and dietary data: Food allergy and dietary information is considered health data under GDPR and receives additional protection. We collect this data only to keep your child safe and do not use it for any other purpose. By providing this information, you give explicit consent for us to process it for this purpose. 3c. Photos and videos Photos and videos are taken during our programmes. Data Purpose Photos/videos of children during activities Sharing daily updates with parents Photos are shared exclusively with the parent/guardian group via WhatsApp. We do not post photos or videos of children publicly or on social media without the explicit prior consent of the parent or guardian. If you have given marketing consent at registration, we may use photos of your child on our website or social media. You may withdraw this consent at any time by emailing us. Legal basis: Consent (GDPR Art. 6(1)(a)) 4. Who We Share Your Data With We do not sell or rent your personal data to third parties. We work with the following service providers who process data on our behalf: WeTickets — our booking platform, which processes registration data. WeTickets operates under its own privacy policy and data processing agreement. WhatsApp (Meta) — used for communication with parents and sharing daily photos. WhatsApp processes data under Meta's terms of service. These parties act as data processors and may only use your data in accordance with our instructions. We may also share data if required by law or to comply with a legal obligation. 6. Data Security We take appropriate technical and organisational measures to protect your personal data against loss, misuse, or unauthorised access. Access to personal data is limited to Noga Tavor (founder) and any staff directly involved in running the programme. We encourage parents not to share photos received via WhatsApp publicly or on social media, to help protect the privacy of all children in the group. 7. Your Rights Under GDPR, you have the right to: Access the personal data we hold about you or your child Correct inaccurate or incomplete data Delete your data ("right to be forgotten"), where no legal obligation requires us to retain it Withdraw consent at any time, without affecting the lawfulness of processing before withdrawal Object to processing based on legitimate interest Data portability — receive your data in a portable format To exercise any of these rights, contact us at softlightbv@gmail.com. We will respond within 30 days. 8. Complaints If you have concerns about how we handle your personal data, please contact us first and we will do our best to resolve it.
